We are seeking a Transactional Legal Secretary to support our nationally recognized Commercial Finance Practice Group. Intellectual Property Legal Secretary

Job Description:

The Legal Secretary provides and coordinates specialized administrative and secretarial support requiring knowledge of legal practice processes. This position is responsible for providing support to several timekeepers, including Partners, Associates, and Paralegals. The Legal Secretary is also expected to provide support as needed to other secretaries and attorneys when the need arises for assistance or coverage. The position acts as an internal and external liaison for attorneys and clients, while managing administrative functions.

Essential Responsibilities Include:

  • Draft, format, and/or proof various documents and forms, including correspondence, pleadings, discovery, and invoices, and prepare image files to meet U.S. Patent and Trademark Office specifications.
  • e-Filing or manual filing with State, Federal, and Appellate Courts including USPTO and TTAB.
  • Request conflicts checks, process new client intake, and create and maintain client files, including correspondence, pleadings, contacts, and other documentation.
  • Maintain dockets on a regular schedule, track filing deadlines, and send reminders as necessary.
  • Provide legal and non-legal administrative support to attorneys and clients.
  • Curate attorney schedule, including scheduling meetings, calls, depositions, and travel arrangements.
  • Enter and release time for timekeepers.
  • Process expense reports, check requests, and support business development activity.

Job Requirements:

  • Minimum 2 years of experience as an IP Prosecution or IP Litigation Secretary, managing a desk of three or more attorneys.
  • Knowledge of preparing and filing USPTO electronic forms through TEAS and ESTTA preferred.
  • Knowledge of filing TROS and preliminary injunctions preferred.
  • Strong knowledge of trademark law and trademark registration process.
  • Experience with trademark docketing software such as Alt Legal or WebTM's.
  • Strong oral and written communication skills, including editing, spelling, and proofreading.
  • Highly proficient with Microsoft Office Suite and Adobe.
  • Ability to electronically capture and redact Internet images.
  • Strong attention to detail with excellent organizational and planning skills.
  • Ability to multi-task, prioritize, and meet deadlines.
  • Ability to interface with partners, associates, clients, vendors, directors, managers, and staff, and establish working relationships throughout operational groups as a team player.
  • Familiarity with document management systems preferred.
